Our aim from the outset has always been to avoid using single-use plastics at all costs.
To achieve this we will use the following:
Street Events
- Biodegradable/Compostable plastic glassware.
Weddings & Private Hire
- For weddings and hired events, we will use high-quality reusable plastic glassware.
- Wedding Glass hire – if real glassware is preferred we can provide glassware for your wedding.
Refundable deposit for glass & premium plasticware
A refundable deposit of £1 per glass is required. The deposit will be refunded within 30 days of the event minus breakages/losses. Please get in touch with an estimate of the number of guests if you want real glassware for your event. High quality plastic glassware will be used in reserve in the event that we run out of glasses/can’t clean them to proper standards during the event, these will fall under the same breakage costs.
Hot cups & accessories
We use recyclable hot cups for events that require hot drinks.
We use biodegradable plastic straws.
Additional
We recycle as much of our waste materials as possible.
We accept booking payments via Bank Transfer. We will send an invoice with all payment details once the date has been disclosed, the hire package chosen and any add-ons have been selected. Only once this deposit invoice has been settled, will your event be booked. Please see further information below for paying deposits and settling balances.
Deposit for Rose Package – (cash bar)
- A non-refundable deposit of 50% of the hire fee is required to secure your event date
- Currently, we do not have a minimum bar spend. We are determined to offer as much value as possible to the hirer.
Deposit for Ivy Package 2 – (agreed bar tab)
- A non-refundable deposit of 50% (plus 50% of any extras) is required to secure your event date.
- Together we will determine the amount of money you want to put behind the bar.
- Any unspent cash behind the bar will be returned within 30 days.
Deposit for Fleur-de-lis Package – (drinks reception)
- A non-refundable deposit of 50% (plus 50% of any extras) is required to secure your event date.
- “Fleur-de-lis” package includes a welcome prosecco for 100 adult guests (must be aged over 18 on the date of event).
- The 100 welcome drinks consist of 100 glasses of prosecco at 125ml measures each.
- Additional welcome drinks can be supplied at a cost of £2.00 per head. This figure must be agreed before the event and cannot be supplemented on the day. Any drinks bought on the day will be at the regular bar price.
- A non-refundable deposit of 50% (plus 50% of any extras) is required to secure your event date.
Deposit for The Wee Event Package
- Our cheapest package crafted specifically for small events of approximately 40 or fewer people, this package required a full deposit of the hire fee.
- This package is for small ceremonies and events, therefore can only be hired for such occasions.
- In the event that you are hiring the Slow Gin Van with this package for an event during the Covid-19 pandemic, as per Scottish Government guidelines, unfortunately, our staff WILL count towards your total number of guests. For this reason, we will only have one bartender in attendance. This keeps numbers down for you and will be perfectly manageable for events with limited numbers of guests. - In the event that a booking has been made and restrictions in the hospitality, wedding or events industries are tightened, we will honour a full refund of the hire fee and any additionals including, staff time, mileage, and where we can, stock.
- We will be unable to refund you any costs for stock which is perishable. We will also deduct the licensing costs for your event from the refund as we will be unable to claim this back from local authorities ourselves.
- Any cancellation of booked events which are cancelled at the hiree’s will and not due to restrictions relating to Covid-19 will not be available for a refund. This is because we are then unable to re-use the date due to licensing restrictions.
ALL PACKAGES
- The deposit payment is required in one transaction. This enables us to start all the proceedings for your event.
- All packages include the hire of the Van for 2.5 hours, two trained members of staff**, the first 20 return miles from AB51 and any administrative fees (including your occasional license).
- Your booking is not secure until the deposit has been received and cleared. If the balance of your booking and any add-ons hasn’t been paid upon the required date, we will get in touch as soon as possible as you may risk losing the booking, which we reserve the right to re-sell.
**not applicable to ‘The Wee Event’ Package due to Covid-19 restrictions, in this instance there will be one bartender.
Extras & Travel
• any mileage outwith 20 miles of Inverurie, AB51 at 75p/mile.
• any additionals, such as bar staff (£40/hr) and welcome drinks (£2.00/head). We will work out the total cost and provide this in the invoice.
• Full payment of any outstanding balance is required 8 weeks prior to the event, or if booked in under that amount of time, full payment is required at time of booking.
- If the event has been booked less than eight weeks before the event takes place then the full amount must be cleared in our bank account no less than 40 days prior to the event.
Please note once an agreement on price has been agreed and the deposit or first instalment has been taken, no alteration to the agreed price can be provided unless additional guests or drinks are required.
Prices and measures
- All our prices are subject to change depending on availability and minimum alcohol pricing legislation, although once our offering is agreed for an event then no changes will be made to the pricing during that event.
- All our full spirit measures are dictated by the license we are operating under. We serve 25ml measures, and multiples thereof, according to Scottish Licensing Laws.
Responsible drinking
- The Slow Gin Van operates in the same manner that a licensed pub operates. We always encourage responsible drinking. As licensing law states, we must refuse service of alcohol to anybody acting irresponsible, aggressive or drunk, and we reserve the right to uphold the laws and standards expected of us as license holders.
- We follow the ‘Challenge 25’ guidelines, and must, therefore, ask customers for ID if they do not appear obviously over the age of 25 and are attempting to order alcohol. Please do not take offence to this policy as it is what our bartenders are trained to do. And looking under 25 isn’t a bad thing is it?
Insurance
- The Slow Gin Van has full Public Liability Insurance, vehicle insurance and will always have at least one Personal License holder present.
Additional
In the event that The Slow Gin Van is unable to provide services as agreed due to circumstances outwith their control (such as transport or major weather conditions), we will not be held responsible for loss, cancellation or delay. However, rest assured we will do everything in our power to avoid this very unlikely occurrence.
Although we strive to stock a range of drinks in suitable quantities for an event, it is possible that one drink may prove exceptionally popular. In the unfortunate event that The Slow Gin Van runs out of a particular drink, we cannot be held responsible. However, we will strive to offer a suitable replacement.

We have created a Wee Event Package which is currently available to hire. This package is for fewer than 40 guests – the current Scottish Government guidelines (see below) state that a wedding/civil partnership ceremony can have up to 20 guests.
Unfortunately this includes any external catering sources (which we fall under), photographers, etc. With this in mind, we will only allow one bartender to work at these types of event to keep the numbers down.
- Our staff will be fully trained on hygiene practices.
- We will supply hand sanitiser for guest use. Staff will have their own hand washing facilities.
- Staff will wear face masks during service.
- We will only be offering disposable (compostable/recyclable) drinksware at these events.
- We will be operating primarily as a cashless bar. We offer contactless card/phone payments.
- Receipts will only be given at customer’s request.
- Any booking that is cancelled due to tightened restrictions or further lockdown will be honoured with a full refund of hire fee, travel, and non-perishables. License fee will not be refundable.
- Any cancellation of booked events which are cancelled at the hiree’s will and not due to restrictions relating to Covid-19 will not be available for a refund. This is because we are then unable to re-use the date due to licensing restrictions.
We pride ourselves on being as green as possible in our operations. We use compostable and/or recyclable items wherever possible. All our used glass bottles and metal cans will be recycled and any refuse that cannot be recycled will be disposed of responsibly.
Our aim for the future is to become ‘carbon negative’ meaning that we go beyond offsetting our carbon footprint. We have plans in place for this which we hope to carry out in the future.
